The challengePreviously, staff suggestions were tracked manually using Excel and Access databases. This made it difficult to manage submissions, maintain visibility on progress, or celebrate successful improvements.
They needed a secure, intuitive, and centralised platform where all staff could submit ideas, managers could track progress, and leadership could monitor engagement and outcomes — all within the framework of their existing intranet environment.
Our solutionTriad developed a bespoke Continuous Improvement (CI) Tool, fully integrated within the client’s secure intranet platform. The platform provides a single, accessible space for staff to share ideas, while giving managers the tools to evaluate, act on, and report outcomes efficiently.
All employees can log in using existing intranet credentials to submit their ideas — removing barriers to participation and ensuring full traceability.
The CI Tool provides a structured, multi-step submission form. Employees can describe their idea, link it to relevant departments or business areas, and assign values, behaviours, or categories that align with company priorities.
Staff can upload documents, images, or reports to strengthen their submission and provide evidence for review.
Management and admin users can review submissions, comment directly on ideas, update their status (e.g. Under Review, In Progress, Completed), and track measurable outcomes such as cost savings or process improvements.
The system automatically records all actions — who submitted the idea, when updates were made, and by whom — creating a clear audit trail for each entry.
Admins can download all idea data as a CSV for reporting, analysis, and internal presentations, helping leadership teams measure engagement and improvement impact.

Future enhancementsTo keep the platform evolving alongside business needs, several enhancement ideas are being explored:
A personalised notifications tab on the intranet would alert users when an idea’s status changes, a comment is added, or a new submission requires review.
Staff could “like” or vote for ideas they believe have the greatest potential impact, helping to prioritise popular or high-value initiatives and boost participation.
Advanced reporting tools could visualise the number of submissions, engagement rates, and successful implementations over time.
