The challengeHowever, these valuable assets were scattered across convoluted filing structures, emails, messaging apps, and employee devices. Finding the right image for a campaign or press release could take hours, and often no one knew all the materials that existed.
Our client also needed to handle sensitive imagery carefully — not every asset was suitable for external use. In addition, they required a way to manage staff-related imagery, ensuring that if an employee left the business, any images featuring them could be easily identified and removed.
It was clear that a structured, secure, and highly configurable system was needed.
Our solutionTriad designed and developed a bespoke Image Library platform — a centralised, cloud-based digital asset management system built specifically around our client’s operational needs and security requirements.
Unlike an off-the-shelf tool, the platform was custom-built to match our client’s workflows, asset policies, and organisational structure.
Access to the Image Library is strictly managed. Only internal users or approved external partners (such as media contacts or agencies) can log in. Permissions can be defined at a granular level — ensuring sensitive or internal-only imagery is visible only to authorised users.
All staff-related photos are tagged at upload, enabling easy identification. If a member of staff leaves the organisation, administrators can instantly locate and remove or archive relevant assets — protecting privacy and keeping the library current.
Each asset can be assigned an expiry date when uploaded. When that date approaches, administrators are automatically notified to review and, if necessary, delete or replace the file. This keeps the library up to date and compliant with data and usage policies.
Users can generate secure, single-asset URLs for external sharing without granting full system access. Perfect for sending an approved photo to a journalist or agency partner, safely and quickly.
Assets can be downloaded in multiple preset sizes — optimised for web, HD, or full-resolution original — ensuring every team member has the right format for the right channel.
Robust tagging and taxonomy tools make it easy to find relevant assets. Users can filter by event, subject, date, theme, or location — making discovery fast and intuitive.
Every action is tracked: when an asset was uploaded, replaced, edited, and by whom. Previous versions remain available, ensuring full traceability and governance.
The platform’s structure, layout, and categorisation mirror our client’s internal workflows, making adoption seamless across teams.

To improve consistency and quality across all uploads, the platform will introduce upload limits by user group and mandatory metadata fields.
This ensures only high-quality, properly tagged assets are added to the library — keeping the system focused, relevant, and easy to search.
New structured metadata fields — including People, Date, Expiry, and Guest Access — will make assets even more discoverable and traceable.
Integration with their HR system will allow tagging of staff members within images, improving control and visibility, especially when managing staff-related imagery.
Assets can be tagged and classified by usage type (e.g. Internal Only, Approved for Media, Restricted). This ensures that only approved imagery can be shared externally, maintaining brand control and compliance.
Building on the current expiry feature, the enhanced version will include automatic email notifications to administrators as assets approach expiry.
Images will be auto-archived once expired, with access restricted to admin users only. This ensures ongoing relevance and compliance with company policies.
A new download ‘checkout’ workflow will add an approval step for asset use.
Users will be able to add images to a basket, describe their intended use, and submit requests for approval. Admins can then review and approve individual assets, with all requests logged for full traceability.
This feature ensures control over how and where imagery is used, particularly for sensitive or externally distributed content.
All publicly viewable images will automatically display watermarked versions to protect intellectual property.
Only authorised users will be able to download unwatermarked originals, ensuring brand protection without limiting accessibility for approved users.
In cases where an image must be withdrawn — for example, outdated content or a change in consent — administrators will be able to recall that image.
The system will automatically identify and contact all users who have downloaded the file, marking the asset as unavailable and providing a clear audit trail of the recall process.
To strengthen compliance and transparency, a new consent management feature will allow consent to be recorded and tracked for individuals featured in images.
This includes token-based email links for secure digital consent forms, confirmation notifications, and a complete history of consent granted or revoked.
Each consent record will be directly linked to the relevant image for easy reference and governance..
